ROLE SUMMARY
Kaleidoscope is a dynamic, tier-2 creative agency with a strong reputation in brand packaging design, innovation, and brand marketing support, serving both established brands and innovative start-ups.
The Office Coordinator oversees day-to-day operations across departments in the studio, ensuring efficiency and smooth administrative processes. This role provides support for staff and management, including handling correspondence and communications both internally and externally.
KEY RESPONSIBILITIESReception/General Studio Management
o Answering phone calls directed to reception, shipping/receiving, and inquiries.
o Manage entry to building (guests/freelance employees – buzz in)
o Oversee maintenance & appearance of Studio (keep tidy/organized)
Inventory/Ordering & Restocking
o Shipping Supplies
o Kitchen Supplies incl. snacks & beverages
o Bathroom Supplies (mints, flossers, mouthwash, hygiene products)
o First Aid Supplies
o Supplies for each Dept. in-Studio (Proofing, Mockup, Model Shop, etc.)
· Manage relationships/communications with suppliers and vendors.
· Oversee distribution & storage of product/supplies to Studio Departments, PMs, 220, & basement
· Event Planning & Coordination (in partnership with Dept. Heads)
o Including Friday Treats for Studio
o Coordinate with Staff to prepare for events/meetings.
· Oversee opening & closing duties (manage w/ Office Assistant)
o Unlock/lock gate & elevator.
o Unload/load dishwasher & start @ end of day.
o Restocking (see above)
· Overseeing general costs & spending – including retaining and forwarding all receipts as needed
Shipping/Receiving
Work with our Office Assistant to:
o Schedule pickups and deliveries
o Communicate with delivery drivers and manage loading/unloading.
o Ordering specialty shipping items for specific jobs
o Ordering in-market products for jobs
o Oversee daily shipping and packing operations
· Coordinate regularly with PMs, Mockup, & Sales Sample Department to ensure projects are delivered to clients according to schedule.
